These Terms and Conditions ("Terms") govern your use of the services provided by RingBack Pro LLC ("RingBack Pro," "we," "us," or "our"), including our AI-powered call answering, lead qualification, and scheduling services, as well as our website at ringbackpro.com.
1. Services
RingBack Pro provides AI-powered call answering and scheduling services for trade contractors ("Clients"). Our services include answering inbound calls on behalf of Clients, qualifying leads, triaging calls as routine or emergency, scheduling appointments, sending SMS confirmations and alerts, and providing call logs, recordings, and transcripts.
2. Eligibility
Our services are intended for use by licensed trade contractors and business owners. By subscribing to our services, you represent that you are authorized to act on behalf of the business you are enrolling.
3. Account Setup
During onboarding, Clients provide business information including business name, services offered, service area, calendar access, and emergency rules. Clients are responsible for the accuracy of this information and for updating it as their business needs change.
4. Call Handling
RingBack Pro answers calls forwarded from the Client's business phone line. Our AI agent handles calls according to the rules and preferences established during setup. Routine service requests are scheduled on the Client's calendar, and emergency calls trigger immediate alerts to the Client. While we strive for accuracy and reliability, we do not guarantee that every call will be perfectly handled, and Clients are responsible for reviewing and following up on leads and appointments as needed.
5. SMS Communications
As part of our services, RingBack Pro sends SMS messages to customers and Clients for appointment confirmations, emergency alerts, and service notifications. By using our services, Clients authorize us to send these messages on their behalf. Message and data rates may apply to recipients. Recipients may opt out of SMS communications at any time by replying STOP. SMS consent is not shared with third parties for marketing purposes.
6. Subscription and Payment
RingBack Pro services are provided on a month-to-month subscription basis. Pricing and payment terms are established during onboarding. We reserve the right to adjust pricing with reasonable notice. Clients may cancel their subscription at any time — there are no long-term contracts or cancellation fees.
7. Data and Recordings
Calls handled by RingBack Pro are recorded and transcribed. These recordings and transcripts are made available to the Client and are used for service delivery, quality assurance, and service improvement. Data handling practices are described in our Privacy Policy.
8. Client Responsibilities
Clients are responsible for:
- Maintaining accurate and up-to-date business information, calendar availability, and emergency rules
- Responding to emergency alerts in a timely manner
- Reviewing scheduled appointments and following up with customers
- Ensuring their use of our services complies with applicable laws and regulations
9. Limitation of Liability
RingBack Pro provides call answering and scheduling services to assist Clients in capturing leads and managing inbound calls. We are not liable for lost revenue, missed business opportunities, or damages arising from calls that are not answered, misrouted, or incorrectly triaged. Our total liability to any Client shall not exceed the fees paid by that Client in the preceding three months.
10. Service Availability
We strive for reliable, continuous service but do not guarantee 100% uptime. Our services depend on third-party platforms including telephony, AI processing, and calendar services. We are not responsible for outages or disruptions caused by these third-party providers.
11. Termination
Either party may terminate the service relationship at any time. Upon termination, we will provide the Client with their call data and recordings upon request for a reasonable period. We reserve the right to suspend or terminate service for non-payment, misuse, or violation of these Terms.
12. Changes to These Terms
We may update these Terms from time to time. Changes will be posted on this page with an updated effective date. Continued use of our services after changes constitutes acceptance of the updated Terms.
13. Governing Law
These Terms are governed by the laws of the State of Oklahoma. Any disputes arising from these Terms or our services shall be resolved in the courts of Oklahoma County, Oklahoma.
